Pipeline Overview

The Greenfinch pipeline helps you track the status of every property your team is actively prospecting. Think of it as a lightweight CRM built specifically for commercial property services — it tracks where each property stands in your sales process without requiring a separate tool.

Every property in Greenfinch can be assigned a pipeline stage. When you first view a property, it enters your pipeline as a Prospect. As you research, reach out, and advance the relationship, you move it through stages.

Pipeline Stages

Greenfinch provides the following pipeline stages:

  • Prospect — Initial stage. The property matches your criteria and you are considering outreach.
  • Qualified — You have reviewed the property data and confirmed it is a viable target.
  • Attempted Contact — You have made initial outreach (email, call, or visit) but have not yet connected.
  • Active Opportunity — You are in active conversation with a decision-maker about a potential contract.
  • Customer — You have won a contract with this property. Marked with a green "Customer" badge.
  • Lost — The opportunity did not convert. Useful for tracking win/loss patterns.
  • Disqualified — The property is not a fit. Removes it from active prospecting views.

Pipeline stages are set at the organization level — everyone on your team sees the same stage for each property.

Moving Properties Through Stages

You can change a property's pipeline stage from:

  • Property detail page — Use the pipeline status dropdown in the property header.
  • Pipeline board — Drag and drop properties between stage columns in the kanban-style board view.
  • List view — Right-click or use the actions menu on any property row.

Stage changes are logged automatically so you can see the full history of how a property progressed through your pipeline.

Working with Lists

Lists let you organize properties into named groups independent of pipeline stage. Common uses:

  • Territory lists — Group properties by geographic area or sales rep assignment.
  • Campaign lists — Properties targeted for a specific outreach campaign.
  • Portfolio targets — Properties managed by the same PM firm for portfolio-style pitching.
  • Seasonal lists — Properties to target for seasonal services (pre-winter HVAC, spring landscaping, etc.).

Creating and Managing Lists

  1. Select properties in the list or map view using checkboxes.
  2. Click Add to List in the action bar.
  3. Choose an existing list or create a new one.

You can also add individual properties to lists from their detail page. Lists are visible to everyone in your organization.

Viewing Lists

Access your lists from Pipeline > Lists in the sidebar. Each list shows the properties it contains, along with their current pipeline stage and contact count.

Activity Tracking

Greenfinch automatically tracks activity on each property:

  • When the property was first viewed
  • When AI research was triggered and completed
  • When contacts were revealed
  • Pipeline stage changes (with timestamps and who made the change)
  • Notes added by team members

The activity timeline appears on the property detail page, giving your team full visibility into what has happened with each property.

The Pipeline Dashboard shows aggregate metrics: how many properties are in each stage, recent activity across your team, and conversion rates between stages.
